Post Payroll Billing Workflow

Depending on the service and the state/payor rules, service times need to be entered into the system and payroll is processed before billing can take place. In fact, the records can’t be billed out if they’re not paid. To ensure that Pavillio takes this rule into consideration we’ve added a separate workflow to accommodate these requirements.

Post Payroll Billing Workflow

  1. Set-up individual Service Lines.

    Post-payroll billing is set up for each Service Line. When adding a new service line or editing an existing one, set the Parameter Name field to Post Payroll Billing. It is required and defaults to No.

    This significantly changes the workflow of the service records going to payroll and billing simultaneously and should not be marked as Yes unless intended.

  2. Add Visit Records using EVV, Manual Time Entry or Paper Timesheets.

    The visits are added using EVV, manual time entry or paper timesheets. EVV and Manual Time records go into Approve Visits for agency approval. Paper timesheets, once finalized, are ready in post-payroll ready status and are available for payroll computation. EVV and manually entered records are finalized in Approve Visits and once approved, these records are in post-payroll ready status and available for payroll computation.

  3. Generate Employee Payroll.

    When all time has been entered and approved, payroll is ready to be computed. Review any pink lines. If any errors are found, delete the batch by selecting the records on the left and select the Delete button. Follow these instructions to Recompute an Employee Payroll.

  4. Send to billing.

    After the payroll has been exported, go to Financials > Advanced Payroll View > Move to Billing. Select the start date of the earliest record on your payroll export. This may be different from your pay period start date if late timesheets are considered. Select the pay period end date and leave the status as Computed.

    Review the search results to ensure all expected records are present and select the records (including select all records if there are multiple pages) and click Send to Billing. This ensures that only the records generated for payroll goes into billing.
