Capture Attendance Transportation for Direct Support Professionals (DSP)
Your Direct Support Professionals (DSP) have access to capture attendance and transportation counts on the Pavillio portal. For a DSP to access Pavillio a DSP needs an Employee profile, assigned the Caregiver role, and activated as a user.

It is best practice to review attendance and trips that were submitted prior to a supervisor approving the records for sending claims.

Go to My Stuff > My Approvals > Client Attendance tab.

Select a Location, From Date, and To Date.

Click Search.

In the Submitted card, click the Column button.

Select Served Hours and Transportation.

Review the Served Hours and number of Trips for each record, if applicable click the Pencil icon in Actions column to make edits. Click Update when finished.

Records remain in the Submitted card until a Supervisor approves the records from Care Management > Approve Attendance.

At times you may need to enter an attendance or transportation record that wasn’t captured the day of participation.

Go to My Stuff > My Approvals > Client Attendance tab.

Click Add Manual Attendance.

In the slide out select the Client name, Date, Location, and Service Type.

Enter Attendance:

Enter the Start and End Times.

Select the correct AM or PM.
-
Verify the Served Hours are correct.

Enter Notes.
-

Click the + to increase the Transportation number.
-
Click Save.

Go to My Stuff > Client Attendance.

On the Attendance tab:

Select the Service Type – this selection is based on the service codes that an individual is authorized to receive services for.

Select the Location – this selection is based on your agency’s setup and processes.

Click Search.

Scroll or Search for the individual. If a client is not in the list for this location:

Verify the service type and/or the location.
-
Reach out to your supervisor to add them to this location.

Attendance

Present - Tap to the right of the toggle clocking them in for services.

Absent – Tap to the left of the toggle and select an absent reason, add notes and then select Add.

Transport – click + to add or change the number of trips and then click Update.

Notes – if applicable add notation for the day to empower your team members.

Save Notes – click after entering notes.
Notes disappear from the screen but can be seen by clicking the information icon.

Clock Out – click to spot the clock at the end of day or throughout the day as necessary.
Submitting the records is done automatically when clocked out.

Information icon – click to edit the clock in, clock out, see notes.

Editing clock in and out – in the View Details slide out, click the Pencil icon. Edit the time and select the correct AM or PM.

Click Update.
